Job Summary

The Sr Automotive Standards Specialist is responsible for supporting the overall day to day administrative functions of the Automotive Compliance process including the Commercial Motor Vehicle (CMV) drivers and vehicles. This position is the primary support and vendor liaison for external vendors who assist with driver applications. It supports the governance of the driver and vehicle portfolio and ensures compliance with all federal and state rules and regulations including DOT, FMCSA, and corporate fleet regulations, as well as upholding standards and policy requirements as it relates to the Automotive vehicle fleet policies and procedures.

 

This position monitors and supports the entirety of the driver program, making suggestions for continuous improvement in process controls, administration, data and reporting, vendor performance, and audit readiness. It assists in ensuring accurate driver qualifications, vehicle inspections, licensing, training, and fleet compliance programs are completed appropriately. 

 

The position serves as the front-facing organizational support resource for the department, providing guidance, issue resolution, communications, and stakeholder engagement across internal departments and third-party vendors. It partners with stakeholders to ensure system integrity, regulatory compliance, operational effectiveness, and risk mitigation across the automotive fleet. It assists in ensuring accurate compliance records, timely corrective actions, and proactive monitoring of driver and vehicle compliance statuses.

Essential Functions

  • Serve as a liaison for automotive compliance programs by providing guidance and customer service to stakeholders, coordinating communications regarding driver and fleet compliance requirements, supporting fleet governance initiatives, and facilitating resolution of compliance-related issues with internal departments and external vendors.
  • Maintain and support automotive compliance systems and databases by updating records, managing user access, validating data accuracy, supporting workflows, generating reports, and assisting with system enhancements, testing activities, and ongoing administration of driver compliance processes.
  • Prepare, review, and distribute compliance reports and notifications, including CMV Driver Qualification Status Reports, Vehicle Inspection Reports, expiring credential notifications, compliance dashboards, KPIs, and other reporting used to support regulatory compliance monitoring and operational decision-making
  • Administer driver and vehicle compliance programs by maintaining driver qualification files, licensing records, motor vehicle records (MVRs), CDL documentation, vehicle inspection records, and other required compliance documentation in accordance with DOT, FMCSA, state, and company requirements; review driver applications and supporting documentation to ensure qualification requirements are met and processed within established timeframes.
  • Support automotive compliance operations and audit readiness by coordinating with third-party vendors, maintaining audit-ready documentation, supporting internal and external audits, administering CDL random testing pool activities, and assisting with continuous improvement initiatives that enhance program effectiveness and compliance outcomes.
  •  Any other duties as identified.

Minimum Qualifications

  • Bachelor’s degree in business, Fleet Management, Information Systems, Information Technology, Data Analytics or related field; or equivalent experience. Experience in compliance administration, systems administration, vendor management, business reporting, and data governance. 
  • Plus 3 years of relevant work experience.

Preferred Qualifications

  • 5 years of relevant work experience.
  • In-depth experience with vehicle compliance including DOT, FMCSA, and Driver Qualifications requirements and regulations 
  • Managing multiple user groups and providing insights where improvements can be made. Create action plans and execute on those goals.
  • Experience in actual past DOT or other audits on vehicle or driver compliance.
  •  Past work experience with large fleet of vehicles especially in the area of Driver Qualifications (DQ).
  •  Salesforce, SAP, Ariba, Power Automate, fleet systems, compliance platforms, SaaS applications, system integrations, and digital transformation projects. Large system application/database experience.
  • Working knowledge of SAP Ariba is also preferred.
  • Enjoys automotive industry and/or vehicles in general.

Knowledge, Skills, and Abilities

  • Strong knowledge of enterprise systems, databases, SharePoint, Power BI, Tableau, Excel, and reporting tools. Demonstrated IT/DT partnership experience, systems administration skills, vendor management, data quality management, troubleshooting, process mapping, and business analytics. Knowledge of information security, records management, and compliance controls preferred. Excellent interpersonal, written, and verbal communication skills. Must be able to work and communicate effectively in writing and verbally with all levels of the company and suppliers.
  • Detail oriented for careful review of DOT records and motor vehicle record reports.
  • Experience demonstrating excellent record review and records organization skills including archiving records into central repository. 
  • Strong interpersonal, written, and verbal communication skills.
  • Able to perform vehicle record reviews on an ongoing, daily basis.
  •  Demonstrated skills utilizing IT application relating to automotive fleet operations.
  •  A self-starter and motivator in his/her job performance.

The salary/hourly range is $70,800.00 – $91,692.00. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position.
