SUMMARY OF DUTIES:
The Senior Document Control Specialist position will perform specialized duties associated with the processing and maintaining vital records and documents. This position serves as:
• Subject matter expert (SME) for the Mechanical Department in relating to the creation, revision, retention, and disposition of Mechanical documentation and records system-wide
• Mechanical Department’s Document Control Representative (DCR)
• Point of contact for the Mechanical Department’s default documentation management repository, Paradigm
In addition, the Senior Document Control Specialist is also responsible for the following:
• Working independently and in a collaborative effort collaborate with additional stakeholders, subject matter experts, content owners, Quality Management Team, and the Safety Department to ensure accurate information is processed properly and provided in a timely manner
• Providing service and user support, troubleshooting and addressing Paradigm user concerns, providing productivity reports, and managing the day-to-day processing of Mechanical Department-owned documentation and records
• Supporting the continued development and refinement of Mechanical Department’s document management and lifecycle processes
• Ensuring all technical writers and contributors are trained properly and aware of their documentation preservation responsibilities
ESSENTIAL FUNCTIONS:
The Senior Document Control Specialist is the Document Control Representative (DCR) for the Mechanical Department and is responsible for the following:
• Ensuring all Mechanical Department documents are managed in accordance with all corporate and departmental document control and record retention policies
• Processing and supporting Mechanical Department documentation and records throughout their lifecycle
• Providing subject matter expertise, technical training, and operational support to the facilities’ DCRs and designated facility/departmental experts to ensure that documents adhere to and are maintained in accordance with the department’s established standards and practices
• Overseeing compliance and developing training activities to address deficiencies
• Maintaining and enforcing strict revision control standards on all Mechanical Department-owned, as well as, maintaining all associated correspondence
• Utilize Paradigm to manage documentation according to Document Management policies
• Conduct research as required and assist in the preparation of presentation
• Learn and understand new tasks (both complex and routine) in a fast-paced environment with frequently changing priorities
• Retrieval of active and archive Mechanical Department documentation and records
• Acting as the assigned Document Manager for Mechanical Department documents
• Supporting Document Management Team and facility assigned DCRs as needed
MINIMUM QUALIFICATIONS:
• Bachelor’s degree in related field or the equivalent combination of relevant education, training, and experience
• Extremely detail oriented individual that possesses comprehensive knowledge of document management processes
• Self-starter with project management skills, constructive problem-solving skills, organizational skills, and ability to work independently
• Proficient PC skills, with advanced knowledge of Microsoft Word and Excel
• Quickly understands what new tasks/jobs required
• Quickly understands and uses processes, technologies and ideas that are continually being updated
• Ability to work under time constraints and with essential deadlines
• Ability to proofread complex technical documentation for accuracy and compliance.
• Must possess strong interpersonal skills and be a team player
• Ability to apply basic project management techniques to multi-task and prioritize
• Advanced written, organizational, and oral communication skills
• Ability to learn new tasks (both complex and routine) in a fast-paced environment with frequently changing priorities
• Excel at analyzing, proofreading, and managing all aspects of corporate, departmental, and localized information
• Flexibility to work extended hours if required
PREFERRED QUALIFICATIONS:
• Experience with document control work processes and utilization of electronic systems for document management, as well as corporate procedures related to document management and retention.
• Demonstrated experience/working knowledge of various data management business systems including Procurement, Work Management, Business Operations, and Training
• Some experience in railroad related or similar transportation or industrial activity with well-developed understanding of technical concepts, terms, and various fleet and equipment nomenclature to include transportation industry style vehicles
COMMUNICATIONS AND INTERPERSONAL SKILLS:
Must have excellent oral and written communication skills.
The salary range is $69,580-90,180. Pay is based on several factors including but not limited to education, work experience, certifications, internal equity, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation.
