Job Summary

This position leads various projects and departmental activities to include analytical and administrative programs, business operations in accordance with corporate and departmental policies, procedures, and directives based on organizational initiatives/goals.  Fulfill role of business liaison and SME for administrative support staff and department leadership while collaborating with other SME’s and/or leaders in multiple functional areas. This position reports to the VP of Procurement. 

Essential Functions

  • Coordinate complex meeting schedules and manage calendars for Procurement leadership, including arranging meetings across procurement divisions and other departments, working with executive admins, and ensuring all required participants are available. Oversee travel management for the department and support related logistics as needed.
  • Plan and coordinate large staff meetings or events one to two times per year, including securing locations, managing invitations and attendance, handling invoices, arranging guest speakers, and supporting all related logistics.
  • Assess, evaluate, recommend and implement standardized reporting requirements and tracking methods based on department business requirements, budgetary purposes, and organizational changes.
  • Seek process tools, techniques, and improvements based on corporate policy/procedures to advance business service levels through various forms and methods.
  • Support the department with auditing expenditures and invoices for review, validation and budgetary purposes based on business requirements.
  • Develop executive level presentations; compose, edit, and assist in preparation of routine and non-routine written correspondence and reporting; handle confidential and non-routine information.
  • Provide guidance and direction to the department’s administrative support staff with the ability to perform all functions of these positions.
  • Execute department process improvements.
  • Review continuous improvement recommendations and develop action plans for execution.

Minimum Qualifications

  • Bachelor’s Degree or equivalent combination of education, training and/or relevant experience. 
  • Plus 3 years of relevant work experience.
  • Possess comprehensive knowledge of Travel and Expense Management & AP policies, procedures and processes.  
  • Possess strong expertise in responsible administrative and analytic roles performing multiple business and administrative (non-secretarial) activities.
  • Considerable experience implementing related and administrative policies, procedures, and programs.
  • Substantial experience in effectively working with multiple team members at various levels in an organization
  • Expert experience using PC-based word processing, spreadsheets, and presentation software (e.g., Word, Excel, PowerPoint)
  • Strong organizational, attention to details, and problem-solving skills.
  • Ability to effectively manage multiple projects/processes.
  • Ability to establish priorities to meet business needs.
  • Ability to maintain confidentiality.
  • Ability to effectively interact with senior level management, business partners, Generalist and internal/external customers.
  • Ability to learn new tasks in a fast-paced environment with frequently changing priorities.

Preferred Qualifications

  • Bachelor’s Degree or equivalent combination of education, training and/or relevant experience. 
  • Plus 5 years of experience n an administrative management role in an operating department.
  • Expert experience in an administrative management role.
  • Excellent communication skills, both written and verbal.
  • Extensive experience using administrative systems and software such as SAP and Org Plus.
  • Strong expertise with procurement, operations, and finance department functions.  

Knowledge, Skills, and Abilities

  • Exceptional communication skills both written and verbal
    Proficiency with Microsoft Office Suite (e.g. Word, Excel, PowerPoint, Outlook, SharePoint, Visio)
  • Ability to multi-task and exercise considerable judgment and initiative
  • Knowledge of business systems such as Ariba on Demand and Concur
  • Excellent organizational and problem-solving skills

The salary/hourly range is $78,600.00 – $101,844.00. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position.
