SUMMARY OF DUTIES:
This position facilitates the administrative processing of all formal disciplinary cases handled by the Office of Disciplinary (ODI) Investigations, ensuring these matters are handled in a timely manner. This position deals directly with field management, Charging Officers, and Designated Hearing Advocates in all matters related to formal discipline. This position provides support and efficient management and administration for ODI case scheduling, transcript processing and decision disposition for all disciplinary cases. This position is also responsible for responding to time sensitive inquiries and requests for information from internal and external stakeholders.
ESSENTIAL FUNCTIONS:
- Coordinate scheduling, postponement, and disposition to help ensure adherence to disciplinary timelines and collective bargaining agreement requirements; provide administrative support to Hearing Officers, as needed.
- Update and maintain ODI records and information in the ODI system database and ODI Excel Spread Sheet on a daily basis.
- Administer and coordinate transcription/court reporting services for disciplinary hearings.
- Respond to reporting and information requests from internal and external stakeholders.
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree OR at least 5 years work experience as Administrative Assistant or Analyst, or experience in a similar position with Labor Relations or Human Resources, or other department.
- Demonstrated ability to manage multiple tasks and work in a collaborative manner on time sensitive matters.
- Significant experience working with and knowledge of computer databases, Excel, PowerPoint
- MIMINUM KSA (Knowledge, Skills, and Abilities):
- Excellent time management skills
- Excellent oral and written communication skills and ability to interact effectively with employees at all levels in the organization
- Ability to work with sensitive and confidential information
- Significant computer skills and experience
- Knowledge of Labor Relations and collective bargaining agreements
PREFERRED QUALIFICATIONS:
- 5 years work experience as Administrative Assistant or Analyst, or experience in a similar position with Labor Relations, Human Resources, or other department.
- Knowledgeable on Amtrak policies, procedures, and labor agreements
- Experience in unionized environment
WORK ENVIRONMENT:
- Up to 15% travel
- Significant computer usage
- Fast paced and time-sensitive environment – business demands may require working in excess of normal business hours and days.
COMMUNICATIONS AND INTERPERSONAL SKILLS:
Must have excellent oral and written communication skills.
The salary/hourly range is $94,300-$122,256. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation.
