SUMMARY OF DUTIES:
Under the direct supervision of the Superintendent Road Operations, Central, this position provides administrative support to road operations in the Central Division.  Edits and assists in preparation of all correspondence and reports. Coordinates travel arrangements and acts as a liaison with other departments, host railroads, outside agencies, & high-level staff & union officials. Handles confidential and non-routine information. Sorts & distributes mail, screens calls, maintains filing. Specifically this position effectively works with the Assistant Superintendent's and their managers to support the direction of the Central region.  Effectively handles processes while maintaining confidentiality when working on injuries, rule violations, and discipline processes. Effectively monitors processes for hiring managers, effectively develops & distributes reports to measure performance against corporate goals and effectively coordinates the investigation process for customer relation reports, collaborating for complete & detailed reports and following up on confidential discipline as a result.


ESSENTIAL FUNCTIONS:
This position is accountable for the administrative support to the Superintendent Road Operations and his management staff.


MINIMUM QUALIFICATIONS:

  • Must have demonstrated knowledge of the business and an excellent command of the English language. Must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment at a level generally acquired through 3+ years related experience. Must be able to streamline work methods and processes to eliminate inefficiencies. Must demonstrate proficiency in a variety of computer software applications (preferably in Microsoft Office) in word processing, spreadsheets, database and presentation software. Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. Must have analytical ability in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. Must give continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. 
  • Must manage time effectively in order to respond to customers and stakeholders quickly and accurately. Must be at ease working with staff members. Must be able to work irregular hours.
  • Demonstrated experience communicating orally and in writing within and outside of the organization.
  • High School diploma and no less than 3 years of administrative work experience. 


COMMUNICATIONS AND INTERPERSONAL SKILLS:
Must have excellent written and oral communication skills.
