Oversees records and document management for legal records and provides case management support to attorneys and other legal staff in the Law Department. Serves as a system administrator for the Legal Holds module of Law’s matter management system. Interprets documents, updates various database systems, including Law’s matter management system, performs quality assurance, and works directly with paralegals and attorneys to gather documents for active cases. Ensures that company records are organized and classified according to established standards and guidelines.


1. Assist in the maintenance of the current Law Department case management database
2. Assist paralegals and attorneys in preparing cases for trial
3. Prepare and distribute legal hold preservation memoranda to employees, following protocols to ensure preservation of hard copy and electronic evidence
4. Review incoming Records Destruction requests for any legal hold and provide approval/non-approval to departments
5. Prepare closed cases for off-site storage; and process, organize and retrieve off-site files
6. Process and record all incoming mail deliveries for the Law Department
7. Respond in a thorough and timely manner to subpoenas and other requests for information, including unemployment insurance claims
8. Conduct electronic data searches
9. Other special projects and legal support duties as assigned



The successful candidate for this position must have:
• 0 - 2 years of experience in a related field, preferably legal support in a large law firm or corporate legal department
• Experience with electronic management systems


• Litigation experience in a large law firm or corporate legal department

• 3 - 5 years of experience in a related field, preferably legal support in a large law firm or corporate legal department
• Experience working with railroads or other industrial environments with extensive personnel policies, labor agreements, and discipline processes



Must have excellent written and oral communication skills
