Job Summary

This position provides project and administrative support to ensure efficiency and effectiveness of the day-to-day operation managing multiple demands and competing priorities to include a very demanding calendar.  Incumbent is responsible for the oversight of the Department’s personnel paperwork, records management, cell phones, administrative requests, and preparation of items to include personnel actions, expense reports, travel authorizations, payment requests and procurement of office supplies. Handles confidential/sensitive information and works on multiple projects in a fast-paced environment.

Essential Functions

• Provides administrative and secretarial support

• Acts as liaison with other departments, the Executive Committee and other high-level staff and outside agencies.

• Composes, edits, and assists in preparation of correspondence.

• Coordinates travel plans, hotels, and car service; and maintains calendar.

• Works on multiple projects in a fast-paced environment and deals with confidential/sensitive information.

• Coordinates and prepares all board requested items, reports, etc.  Interacts with senior staff members to obtain all pertinent information required. 

• Must have a high level of interpersonal skills to handle sensitive and confidential situations. 

• Reports - Mobile devices; P-Cards; Vehicles; Headcount; org. charts; injury

• Written & Verbal Communication-Interpersonal Skills; handling sensitive information; Attention to detail, proofing materials; Presentation Skills - Able to   create PowerPoint slides, memo, correspondence, etc.

Minimum Qualifications

  • High school diploma/GED
  • 4 or more years of prior relevant experience required
  • Demonstrated knowledge of secretarial, office administration procedures and knowledge and use and operation of standard office equipment.
    • Demonstrated analytical ability in order to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.
    • Extensive knowledge (intermediate to advanced) of business, secretarial, office administration procedures including word processing, spreadsheets, graphs   and charts.  
    • Administrative - Knowledge of secretarial, office administrative procedures, operate office equipment, ability to multi-tasks, answer phones, Calendar Mgt.


Preferred Qualifications

  • 7 or more relevant experience preferred

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office administration tools.
  • Strong organizational and time management skills to prioritize multiple tasks and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to interact professionally across all levels.
  • High level of discretion, judgment, and interpersonal skills to manage confidential and sensitive information.
  • Analytical ability to troubleshoot administrative issues, summarize data, and streamline processes for efficiency.
  • Time Mgt. - Ability to multi-tasks, meet deadlines and deliverables, streamline work methods and processes to eliminate inefficiencies.\
  • Analytical - Retrieve and analyze data, create graphical charts, reports, spreadsheets, tables, databases and use tracking systems for business operational support activities.   
  • Safety -Exhibit safe behavioral practices in daily activities.  Ensure surrounding and safety practices are upheld.
  • Procurement & Logistics Acumen - P-Cards, Travel Arrangements, Expense Reports and Vehicles if applicable.

The salary/hourly range is $83,700.00 – $108,432.00. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation.
