SUMMARY OF DUTIES:
The Sr Document Management Systems Specialist position is responsible for supporting the continued rollout and refinement of Mechanical Department document management systems. This position oversees technical, operational, training, and compliance support to ensure the Mechanical Department and designated facility/departmental experts and management teams system integrity, file accuracy, and that ongoing system improvements are accomplished. 

 

In addition, this position serves as the Paradigm subject matter expert, performs analysis, makes recommendations and ensures the appropriate processes are applied with the correct level of detail responsible for implementation of corporate, departmental, and compliance initiatives and improvements.


ESSENTIAL FUNCTIONS:
The Sr Document Management Systems Specialist is responsible analyzing and managing the effectiveness of activities, addressing deficiencies, prepares recommendations, as well as creates implementation plans for the effectiveness of Document Management by performing the following functions:


• Paradigm coordinator duties, e.g. manage security, module content structuring, user access levels, profile group permissions, develop and maintain the event management system workflows and setting overall system and module defaults using Power Tools. 
• Provides subject matter expertise and acts as a point of contact for user assistance with Mechanical Department’s document management systems.
• Interfaces directly with document control representatives and departmental management staff to improve on-site application, to foster facility management support and commitment and to build enthusiasm about system implementation and its benefits. 
• Manages business process refinement and enhancement efforts and activities.     
• Oversees scheduling, compliance, and progress reporting of all systems implementation activities and develops training activities to address deficiencies for each location in the overall area of responsibility.  
• Provides key input relating to system design enhancement and changes after soliciting and communicating feedback from all types of users. 
• Provides technical, training and operational support to designated facility/departmental experts and management team to ensure changes and enhancements are communicated effectively.

 

MINIMUM QUALIFICATIONS:
• Bachelor’s Degree in related field or the equivalent combination of relevant education, training, and experience.  
• Successful participation in a document control or data management effort.
• Demonstrated experience in delivery of training programs throughout various levels in the workplace. 
• Must have strong technical knowledge of document control standards, Quality Assurance audits, and electronic processing of documentation.
• Demonstrated experience in delivery of training programs throughout various levels in the workplace.
• Demonstrated analytical, critical thinking, and problem-solving experience through innovative approaches or solutions. 
• Must have strong oral and written communication skills in order to effectively work with diverse workforce.
• Ability and desire to learn and train on new software/systems at a rapid pace; ability to become a recognized expert on those systems
• Demonstrated strengths in organizational, attention-to-detail, follow-through and accuracy.

 

PREFERRED QUALIFICATIONS:
• Experience with supporting Quality Management System (QMS) and Document Management Systems
• Multi-disciplined engineering or mechanical experience in a transportation company.
• General knowledge of FRA regulations, Railroad Operating Rules, OSHA regulations, AAR Rules, general maintenance practices for Amtrak cars and locomotives and other applicable codes and standards.
• IT-related coursework in Networking, Business Communications and/or Information Systems.
• Experience in Adult Learning, Training, Presentation Platform Skills.
• Basic knowledge of project management.

 

COMMUNICATIONS AND INTERPERSONAL SKILLS:
Must have excellent oral and written communication skills.

 

The salary range is $79,250-102,700. Pay is based on several factors including but not limited to education, work experience, certifications, internal equity, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation.
