SUMMARY OF DUTIES:

Working in a fast-paced environment, the Recruitment Coordinator conducts integral tasks on the Talent Acquisition team.  The Coordinator supports full-life cycle recruitment activities and builds candidate, hiring manager and important business line relationships, often providing the first impression of Amtrak and the Talent Acquisition team.  This role requires multi-tasking, detailed decision making, and strategic focus when working to support multi-functional business and recruitment requests.  The Recruitment Coordinator is an organizational guru who accomplishes candidate outreach, assists recruiters, completes interview scheduling - including extensive and complex arrangements involving travel itineraries, coordinates candidate relocation, partners with business lines to forecast requisition submissions, organizes the first step of the recruitment process with intake of submittals and creation of requisitions, partners with vendors to ensure SLAs are honored and troubleshoot discrepancies with process, manages timeliness with constant coordination, communication and review of requisition and candidate status in the recruitment process as well as sourcing and checks references upon request.  The Recruitment Coordinator provides excellent customer service with a strategic focus. This role works effectively with internal and external clients to build Amtrak’s organization of talented individuals while performing within standard operating procedures, the Code of Federal Regulations (CFR) and other applicable federal, state and local regulations.

 

 

ESSENTIAL FUNCTIONS:

  • The Coordinator works independently to manage and organize multiple activities to support Talent Acquisition and business lines with hiring needs, while providing excellent customer service to internal and external contacts.  
  • Liaison with recruiters, hiring managers, project managers, executive admins, and candidates.  The Coordinator is a key face of Amtrak, as they are often the most frequent point of contact with our candidates, as well as the first point of contact with business line and hiring managers.
  • The Coordinator partners with business line contacts to assist with requisition submission and approval process management. They will organize strategic alignment with the department liaison, hiring manager, recruiter and themselves to timely kick-off the recruitment process.  
  • The Coordinator welcomes both candidates and hiring managers to the Amtrak candidate/hiring manager experience and greets candidates and hiring managers on the day of interviews.  
  • Interview scheduling is owned by the Coordinator.  He/She organizes, prioritizes, persuades and influences flexibility and changes to accommodate complex interview requests.  The Coordinator independently tracks and monitors all incoming interview requests to completion.
  • This person assists with travel, including creating and distributing train vouchers and other logistics as needed.  They also prepares interview packets and other items needed for interviews.  
  • The Coordinator assists in outreach of targeting diverse groups for the purpose of building a diverse workforce including veterans, women, persons with disabilities, campus candidates, etc.  The  Coordinator attends recruitment and recruitment marketing events to represent Amtrak with, or on behalf of, recruiters and generates awareness of employment opportunities.
  • The Coordinator tracks and monitors forecasting of new requisitions, requisitions that are moving through the approval process, and approved requisitions to begin the recruitment process and set recruitment strategy meetings at the requisition creation step. They are the first contact with a hiring manager to set expectations, review job descriptions and attributes for accuracy and create the job posting and position in Successfactors/SAP. 
  • Schedules intake meetings with hiring managers and recruiters, partners with recruiters to source and pre-screening candidates, and assists with overseeing the assignments and reassignments of requisitions.  
  • Works with external job boards, internal partners and external sources for candidate engagement.  The Coordinator schedules, facilitates, and grades approved testing based on specific job requirements or contractual obligations.  On an as-needed basis, the coordinator conducts detailed phone screens and evaluates candidate fit for the role and Amtrak.  
  • The Coordinator creates offer/rejection letters to assist recruiters and management. 
  • Ensures high-quality standards for all activities, initiatives, and tasks within the designated functional areas of responsibility. Adheres to all service level agreements established by talent acquisition. 
  • Pulls data and metrics to produce score cards and reports to provide transparency and assist TA in delivering results for Amtrak.
  • Partner with external vendors to ensure SLAs are met and manage deviations and discrepancies
  • Maintain reporting to monitor and track statuses daily.
  • Updating the Applicant Tracking System and ensuring requisitions are closed out in a timely manner.  
  • Knowledge of HR laws and Amtrak best practices to ensure compliance and fair employment practices.  
  • The Coordinator maintains and tracks job and candidate data for compliance with EEO and other related employment laws and regulations.
  • The Coordinator also assists others in TA on an ad hoc basis for a variety of tasks including resolving issues, assistance with invoices, assisting with other recruiting activities, etc.

 

 

MINIMUM QUALIFICATIONS:

  • Bachelor’s Degree or the equivalent combination of training, education and relevant experience may be considered in lieu of a degree.
  • Recruitment, HR, Customer Service or business support experience 
  • Strong organizational skills with proven ability to independently prioritize and accomplish goals.
  • Demonstrated resourcefulness, anticipating needs and taking initiative.
  • High attention to detail and follow-up skills.
  • Ability to handle highly confidential material on a continuous basis in a professional manner.
  • Knowledge of business process improvements
  • Ability to re-prioritize based off changes in business needs
  • Superior time management skills. Ability to multi-task and work in a fast-paced, high-volume work environment

 

 

PREFERRED QUALIFICATIONS:

  • 3 years of relevant experience.
  • Experience using applicant tracking systems.
  • Knowledge of federal, state, and local laws affecting human resource issues pertaining to recruitment.
  • Business acumen, management of business support and partnership activities
  • Recruitment experience including candidate interview scheduling, phone screenings, influencing hiring managers
  • Managing external vendors in a corporate environment, understanding of EEO/AA/OFCCP guidelines and regulatory requirements in the recruitment function.
  • Familiarity with SAP or similar software.
  • Experience with recruitment metrics.
  • Project management/process management experience strong computer and technology skills.
  • Advanced social media and technology networking capability.
  • Exceptional communication skills, both written and verbal.
  • Presentation skills.
  • Ability to exercise sound judgment and discretion.
  • Operational adaptability to meet sudden and unpredictable needs.

 


COMMUNICATIONS AND INTERPERSONAL SKILLS:

  • Must have excellent oral and written communication skills.

The salary/hourly range is $58,900 - $76,464, Pay is based on several factors including but not limited to education, work experience, certifications, internal equity, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation.
