This role is being created to support a multi-year transformational project at Amtrak, as support for normal department operations. As this position is tied to that project work, continuation of work after completion of the project would depend on business needs at that time.

 

Job Summary

Lead, manage, and maintain all vendor master data functions, including oversight of daily payment runs, payment voids, and reissues. Work with external partners for banking, unclaimed property, and escheatment to states. Coordinate and manage financial analysis on payments, monthly closing, vendor refunds, and reporting. Interact with and provide financial and administrative support to all levels of the Amtrak organization. Manage, train, and develop the accounting staff, including performance monitoring, evaluation, and implementation of personnel actions.

Essential Functions

  • Act as the primary point of contact for vendor inquiries regarding Ariba registration and invoice submission through the supplier portal
  • Run daily payment runs proposal in SAP for ACH, checks, or wires, ensuring adherence to payment terms. Report to treasury and make adjustments as needed
  • Collaborate with procurement, receiving and vendors to resolve discrepancies related to pricing, quantity, or quality
  • Oversee vendor master data maintenance in SAP
  • Assist with Amtrak Accounts Payable central email box for vendor inquiries
  • Work with Accounts Receivable to process vendor returns
  • Process unclaimed property claims
  • Assist with the annual audit by providing documentation and reporting for Accounts Payable
  • Performs critical review and takes corrective action to validate financial transactions in accordance with financial requirements and within strict fiscal timelines
  • Manages customer relationships with all Amtrak departments, all Amtrak vendors, and internal and external audit partners

Minimum Qualifications

  • Bachelor’s Degree or equivalent combination of education, training and/or relevant experience. 
  • Plus 7 years of relevant work experience.
  • Proficiency with SAP ECC and S/4HANA

Preferred Qualifications

  • Bachelor’s Degree or equivalent combination of education, training and/or relevant experience. 
  • Plus 9 years of relevant work experience.
  • Experience with SAP Ariba program

Knowledge, Skills, and Abilities

  • Proficiency with integrated accounting systems, PC applications, and Microsoft Office applications, including Excel, PowerPoint, and Word
  • Solid understanding of general ledger coding, 3-way matching, and account reconciliation
  • Demonstrated skill in analyzing data, interpreting policy, and reporting quantitative data for business use and action
  • Ability to work independently in a high-volume production environment
  • Strong organizational and task management skills
  • Demonstrated skill in leading, managing, and motivating team members with varying expertise.
  • Strong verbal and written communication skills for managing vendor relationships, resolving disputes, and interacting with all levels of management within Amtrak
  • Ethical, reliable, responsible, dependable, flexible, and a self-starter

The salary/hourly range is $113,200.00 – $146,664.00. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position.
